Policies

What we collect, why, and who sees it.

• We do not sell family or donor information, and this site shows no ads. We share information only with the service companies that help run the site, such as hosting and email, and only so they can do that job.
• Parents and guardians see their own family's records. Coaches and team staff see their own team. Roles that handle money, such as treasurers, see only what that job needs, and donor amounts are limited to them and the team staff who need them.
• Perch Consulting LLC runs the site for the club. Its staff cannot see a club's family records by default. If they ever need to, they open a time-limited access pass with a written reason, and the club's admin is told.
• Messages to families and donors are approved by a named person before they send. The exceptions are sign-in and confirmation links, and reminders from a template the club approved once. Operational email (sign-in links, reminders) is kept separate from fundraising or promotional email, which carries the club's postal address and an unsubscribe link that we honor within 10 business days. We do not send text messages.
• Visitor counting: right now this site does not use Google Analytics or any other visitor tracking. If the club turns it on later, it will run only on public pages, only after you accept a cookie banner, and never on signed-in pages. [Confirm at publishing time that this is still true.]
• You can ask for a copy of your family's information, or ask us to remove it. Leadership reviews every request, and nothing is erased automatically when a player leaves the club. [Response time, and what must be kept for legal and financial reasons: to be confirmed by the board, counsel and CPA.]
